Painting Invoice Template: Bill Labor and Materials

Create a painting invoice for preparation, labor, paint, supplies, repairs, equipment, approved changes, deposits, tax, and payment terms.

Short answer

A painting invoice template should identify the painter and customer, property or project, invoice number, work dates, rooms or surfaces, preparation, labor, paint and supplies, repairs, equipment, approved changes, deposit, discount, tax, total, due date, and payment instructions. The line items should follow the accepted estimate and distinguish labor from materials.

Essential painting invoice fields

  • Painting business name, address, and contact details.
  • Customer name, billing address, and property address.
  • Estimate, contract, purchase-order, or job reference.
  • Unique invoice number, issue date, work period, and due date.
  • Interior or exterior areas and completed scope.
  • Surface preparation, protection, sanding, priming, and repairs.
  • Labor hours, crew charge, area rate, or fixed project fee.
  • Paint type, quantity, finish, color reference, and other supplies when useful.
  • Scaffolding, lift rental, disposal, travel, or subcontracted work.
  • Change orders, deposit, progress payments, discount, tax, currency, and balance due.

Use precise line-item descriptions such as "Prepare and paint two bedroom walls, two coats" instead of "painting work."

Organize the charges

Preparation and repairs

List washing, masking, scraping, sanding, patching, priming, and minor repair work separately when these services have distinct prices.

Labor

Show hours and rate for time-based work. For a fixed project, identify the covered rooms, surfaces, or milestone instead of creating artificial hourly quantities.

Paint and materials

Identify major paint products, quantities, and agreed prices. Group minor consumables only when the estimate allows it.

Equipment and access

Show scaffolding, lift rental, special access, disposal, or protection charges separately when the customer agreed to them.

Practical invoice example

| Description | Calculation | Amount | | --- | --- | ---: | | Wall preparation and minor patching | Fixed fee | $320 | | Interior painting labor | 24 hours at $65 | $1,560 | | Primer and interior paint | Materials | $540 | | Floor and furniture protection | Included | $0 | | Deposit received | | -$600 | | Balance before tax | | $1,820 |

Do not charge the same preparation or material twice through both a fixed fee and a second line unless the estimate explicitly separates those components.

Changes and progress billing

If the customer adds a room, changes the finish, requests another coat, or approves unexpected repair work, document the scope and price change. Show it as a separate line or progress milestone.

For larger projects, identify previous billings and payments so the remaining contract balance stays clear. See installment payment plans and deposit vs final invoices.

Pre-send checklist

  • Customer, property, job, and estimate references are correct.
  • Rooms, surfaces, coats, and completed scope match the job record.
  • Labor, paint, supplies, equipment, and quantities are accurate.
  • Repairs and change orders were approved.
  • Deposits and prior progress payments are applied once.
  • Tax, currency, total, due date, and payment details are correct.
  • Sensitive access information is excluded.

FAQs

Should a painting invoice separate labor and materials?

Usually yes. Separate categories help the customer review the bill and help the painter track job costs.

How should extra coats be billed?

Reference the approved change, identify the affected area, and list the additional labor and materials clearly.

Can a painter request a deposit?

Yes when the agreement requires one. Show the deposit as received and deduct it once from the progress or final balance.

Should paint colors appear on the invoice?

A concise color or product reference can help with records, but keep full specifications and samples in the project file.
