Invoice Payment Allocation: How to Apply Payments Correctly

Invoice payment allocation is the process of linking an incoming payment to the correct customer and invoice balances. Match the payment reference, amount, currency, date, and customer; then record full payments, partial payments, multi-invoice payments, credits, and overpayments separately.

Start with the payment evidence

Collect the bank or processor transaction, customer, amount, currency, payment date, and invoice payment reference number. Do not mark an invoice paid based only on a promise or screenshot when the transaction has not cleared.

Common allocation cases

Full payment

Apply the entire payment to one invoice and update its status to Paid. Record the settlement date and payment method.

Partial payment

Apply the received amount, keep the remaining balance open, and state the balance in future reminders and confirmations.

One payment for several invoices

Use the customer's remittance note or allocation instructions. Split the payment across the listed invoices and ensure the allocated amounts equal the transaction total.

Overpayment

Payment without a reference

Search by customer, amount, date, and currency. Confirm the allocation with the customer when more than one invoice could match.

Example

A customer pays $1,500 for invoices INV-2100 ($900) and INV-2101 ($800). Their remittance says to pay INV-2100 in full and apply $600 to INV-2101. Record INV-2100 as Paid and leave $200 outstanding on INV-2101.
