Use this invoice header checklist to organize supplier, customer, invoice number, issue date, due date, currency, and reference details.

Why the invoice header matters

The header is the first place a customer or accounts-payable system looks when identifying and routing an invoice. A clear header reduces manual questions and helps distinguish the document from a quote, statement, receipt, credit note, or purchase order.

It should answer three immediate questions:

  1. Who issued this document?
  2. Who is being billed?
  3. Which invoice, dates, currency, and reference apply?

Essential header fields

Document title

Label the document "Invoice" prominently. If it is a proforma invoice, credit note, receipt, or another document type, use the correct title instead of relying on the layout alone.

Supplier identity

Show the supplier's legal or trading name and appropriate contact details. Include business, registration, or tax identifiers when required for the transaction.

A logo can support recognition, but it does not replace the supplier name or required identifiers.

Customer identity

Use the correct person or legal entity responsible for payment, along with the required billing address or accounts-payable contact. When goods go to another location, distinguish the bill-to and ship-to details.

Invoice number

Invoice date and due date

Label both dates separately. The invoice date records when the invoice was issued; the due date states the payment deadline. Do not expect the customer to calculate the deadline from "Net 14" alone when an exact date can be shown.

Currency

State the currency clearly, especially when the supplier, customer, or payment account operates across countries. A bare dollar symbol may be ambiguous.

Add only references that support routing or reconciliation:

  • Purchase order number.
  • Customer account or vendor number.
  • Contract or project reference.
  • Work order or job number.
  • Billing period.
  • Service or delivery date.
  • Customer contact or department.
