How to Send a Professional Invoice to a Client
A simple workflow for sending professional invoices with clear details, payment instructions, due dates, and follow-up records.
Start with a complete invoice
Before you send an invoice, make sure the document is complete. It should include your business details, the client details, invoice number, invoice date, due date, line items, tax if applicable, total due, and payment instructions.
A professional invoice is not just a request for money. It is also a record the client may use for approval, bookkeeping, and tax files.
Check the invoice number and date
Invoice numbers should be unique. Reusing an invoice number can create confusion when tracking payments or discussing a specific bill with a client.
Also check the invoice date and due date. If your payment term is Net 15, the due date should reflect that correctly.
Write a clear email or message
The message does not need to be long. Include the invoice number, total amount, due date, and a short note about the attached or linked invoice.
Example:
Please find invoice 1042 for the July project work. The total is due by August 14. Payment details are included on the invoice.
Short, direct messages are easier for clients to process and forward internally.
Save what you sent
Keep a copy of the final PDF and the message you sent. If the client later asks about the invoice, you can quickly confirm the date, amount, and payment instructions.
If you update the invoice after sending it, save the corrected version separately and note what changed.
Follow up politely
If the invoice is close to the due date or already overdue, follow up with the invoice number and payment amount. Keep the tone factual and helpful.
Good follow-up is easier when the original invoice is clear and your records are organized.
